Hyreus is currently recruiting for an experienced Senior Service Coordinator to join a growing and dynamic service team based in Dublin. This is a fully office-based position offering the opportunity to play a pivotal role in the delivery of Planned Preventative Maintenance (PPM), reactive maintenance, service contracts, and small projects.

As a central point of coordination within the service department, you will work closely with clients, engineers, subcontractors, and internal teams to ensure exceptional service delivery, operational efficiency, and customer satisfaction. Responsibilities

  • Act as the primary day-to-day point of contact for clients, delivering exceptional customer service and maintaining strong working relationships.

  • Coordinate Planned Preventative Maintenance (PPM) schedules, ensuring all works are completed on time and in accordance with service agreements.

  • Manage daily service operations, including engineer scheduling, work allocation, and workflow coordination.

  • Support the delivery of service contracts, commissioning activities, reactive maintenance, and repair works across HVAC systems, including Heat Pumps, Chillers, and Air Handling Units (AHUs).

  • Prepare client reports, KPI dashboards, and monthly service performance summaries.

  • Maintain accurate records and updates within CRM and ERP systems.

  • Liaise effectively with engineers, subcontractors, suppliers, and internal stakeholders to resolve issues promptly and efficiently.

  • Assist with resource planning to ensure operational readiness and effective service delivery.

  • Identify opportunities for service improvements, equipment upgrades, and additional works during client interactions.

  • Support the Service Sales team by preparing quotations, contract renewals, and technical information.

  • Highlight equipment condition concerns and end-of-life assets with commercial upgrade potential.

  • Contribute to continuous improvement initiatives, ensuring service processes remain efficient, compliant, and customer-focused.

The Candidate

The successful candidate will demonstrate excellent organisational skills, a proactive approach, and a strong customer service mindset. You will be confident managing multiple priorities while maintaining high standards of communication and attention to detail.

Essential Requirements

  • Previous experience within Facilities Management, Building Services, or HVAC service operations.

  • Strong client-facing communication and relationship management skills.

  • Excellent organisational, planning, and time management abilities.

  • Ability to work independently while recognising when to escalate issues appropriately.

  • Proficiency in CRM and ERP systems, along with Microsoft Office applications, particularly Word and Excel.

  • A proactive, process-driven approach with excellent problem-solving skills.

Desirable Experience

  • Background in HVAC, Mechanical Building Services, or technical service environments.

  • Knowledge of Planned Preventative Maintenance (PPM) scheduling and service contract management.

  • Experience coordinating field service engineers and subcontractors.

  • Strong understanding of documentation, compliance, and service reporting processes.
